List every place an enquiry can arrive: switchboard, mobile phone, WhatsApp, website form, Facebook message, Instagram message, Google Business Profile and direct email. Then write down who sees it, how quickly, and where the outcome is recorded.
The gaps become obvious surprisingly quickly.
Different channels can have different mechanics, but they need one operating promise. Define the owner, target response time, backup person and next action. An automatic acknowledgement is useful; it is not the same as a useful human response.
A CRM is helpful, but a simple shared pipeline used consistently beats an expensive system ignored by the team. Capture the source, customer need, value or quality, next step and final outcome.
Advertising platforms optimise for the signals you provide. If every form fill looks equal, spam and low-value enquiries can appear successful. Feed qualified and closed outcomes back into reporting wherever practical.
